COURSE RESERVES POLICY

Policy
 
            Course Reserve materials are kept as a separate collection in a closed stacks area at each campus. TCC faculty members may place materials needed for course assignments on reserve. Materials in the Course Reserves Collection are highly controlled as to who may borrow these materials and how long they circulate. Physical access to the Reserves Collection is restricted to Library employees. Materials will be retrieved by library staff for client use upon request. Most reserve items are for use only in the library, unless the professor has requested a limited circulation period. These materials may include, but are not limited to, books, audio/visuals, course syllabi, and course readings. The reserve period is one semester with the option to renew. The default circulation period will be two hours.
  1. Any member of the faculty may request that an item be placed on Course Reserves.
  2. Library staff members make every effort to process Course Reserve materials as quickly as possible, but cannot guarantee immediate access. Submitting materials one week in advance of the date needed ensures availability to students.
  3. The Course Reserves collection is accessed through the Course Reserves module of the TCC catalog by the name of the course instructor, the course number, text title or author, and/or the course name.
  4. Course Reserves are an extension of classroom activity and therefore come under copyright guidelines for classroom copying. In general, instructors may place a copy of any of the following on reserves for a semester for instructional support:
    • A chapter from a book
    • An article from a newspaper or journal
    • A short story, essay, or poem
    • A chart, diagram, or other graphic work from a published work
  5. A full bibliographic citation must be provided for published chapters and articles before materials will be made available to students. This information is required to track publishers for copyright purposes. Each copy will be stamped or carry copyright identification and the following statement: NOTICE: This material may be protected by copyright law (Title 17 U.S. Code).
  6. It is the responsibility of individual course instructors to adhere to this policy. 
 
 
Procedures
 
  1.  Materials are placed on reserve in the order they are received.

     

  2.  Many different types of materials can be accommodated: library books, personal books, personal periodicals, photocopies in manila folders or binders provided by the department, and audio or videotapes. To prevent wear and tear of journals, library periodicals may not be placed on reserve. Reference materials are generally not placed on reserve; exceptions require approval by a librarian. Circulating materials from other TCC campus libraries may be placed on reserve if not on reserve at the home library. Materials will not be placed on reserve if they have been borrowed from outside libraries.

     

  3. For articles, place photocopies of articles in manila folders or binders provided by your department.

     

  4. Bring materials to the circulation desk during library hours. One week advance notice is preferred, but at least 48 hours prior to the time students will need the material is required for processing.

     

  5. Print and complete the reserves form and bring it with your materials to the library, or complete a reserves form at the circulation desk and leave it with your materials. Lists should include title, author, call numbers, course and course number. Only one title per form. The reserve period must be filled in. The faculty member will be contacted at the end of the reserve period to see if the material is still being used.

     

  6. The professor may determine the number of reserve items that can be checked out at one time by one student. The default is one item per person.

     

  7. The professor determines the loan period from the available reserve loan values. Reserve items may be renewed if not in demand.

     

  8. For materials not owned by the library, a barcode is assigned and placed on the back of the reserve item. A yellow reserves sticker is attached to the item, preferably on the spine.

     

  9. A white label is created with the reserves call number and attached to the item.. Materials will be shelved by course no.

     

  10. Reserve items are checked out at the circulation desk following the same procedure as other library materials.

  1. Course Reserves in the LRCs are items put on reserve by a faculty member every semester in writing.
 
  1. Form: All campuses will use the same form.
 
  1. Call Numbers:
    1. All campuses will use the same course reserve call number system
    2. Staff will assign locations (call numbers) that begin with the respective course no. and campus abbreviation for ex. ENG112B, ENG112P, ENG112C, ENG112N, etc.
    3. After the course number, there is space in the field for extra descriptions. These extra descriptions such as faculty member’s last name, words such as article, text, DVD, or Volume no., etc. allow for shelving flexibility at the campus (much like a Cutter number).
    4. The assigned location (call number) will override the LC number on cataloged items.
    5. Ex. ENG112V-Text, CHD101P-BakerTests, PSY204N-BFSkinnerLives, MTH231C-TELE
 
  1. Interfiling:
    1. Cataloged materials and personal copies will be interfiled
    2. Reserved material will be interfiled in one course reserves section in the LRC if physically possible.
 
  1. Shelving:
    1. All reserve materials will be shelved by location (course number) on the Reserves shelf.
    2. Since each item begins with a course no., they will be shelved together by course. If there are several items in one course, the next step will be to shelve them alphabetically by title of the item (or group them together by sub-category, then alphabetize by title). This is subjective based on the needs of the campus.
    3. A shelf may look like below:

  1. Video/DVD series – the series name may be used as the title.
 
  1. All items on Course Reserves need to be entered into the CRM this summer and labels affixed to each item, preferably on the spine if physically possible. A catalogued item already has a spine label, so the label with (example) ENG112V can be affixed above it on the spine.
 

Items stay on reserve for one semester. The expiration date is entered into Aleph. After expiration of this date, it should not show up, but the record remains. So if the faculty member renews the reserve, the record just needs to be restored, not re-entered again.
